01. Class capacities

1.1 All children in a Shared Private (1:2) or a Triple lesson (1:3) must swim with partner(s). Swim Generation will honour the booking for the first two lessons of the term. If Swim Generation are not able to find suitable partner(s) by the third lesson, the client will have the following options:

1.1.1 If there is availability, the booking can be moved to another lesson time or day with child/ren that need of partners.

1.1.2 The booking can be changed to a private lesson or a shared private lesson if moving from a triple lesson for the remainder of the term. The client will pay the difference for the remaining lessons within the term.

1.1.3 The client should find suitable partner(s) of similar age and ability to join the lesson. If the pairing does not work, the client must choose option 1.1.1 or 1.1.2.

1.1.4 Swim Generation pay a fixed cost to the pool owner and coach, irrespective of the number of swimmers that are booked therefore all spaces must be filled, or the appropriate payment must be made to change the class to a private or a shared private lesson.

1.1.5 If the client’s child is in a class with another child that is no longer able to participate, Swim Generation does not expect the remaining client to change their class size, move class time/day or find a suitable partner.

02. Class scheduling

2.1 If the client’s child is assessed as working toward Beginner 3, the child will not be allowed to swim in any slots before 4.00 pm unless they book a private (1:1), a Shared Private (1:2), or a Triple (1:3) lesson with partner(s) that the client has brought to Swim Generation. The partners must be of similar age and ability.

2.2 Swim Generation will inform the client if the child is in a level whereby they must move to a more suitable venue.

03. Reservations and booking policies

3.1 Unfortunately, Swim Generation cannot hold unpaid places any longer than 24 hours, outside of the re-enrolment booking period. If Swim Generation does not receive payment within 24 hours of the booking email being sent, the space will be released.

3.2 It is the client’s responsibility to have reviewed the booking information and venue information prior to the lessons. This will be sent to the client via email. Swim Generation will not offer a replacement lesson, credit or refund for any client that misunderstands the booking or venue information. The booking information and venue information will be sent to the client via email and prior to the first lesson to allow time for the client to contact the office if they have any questions.

3.3 By making a booking and payment with Swim Generation, the client has agreed to the terms and conditions.

3.4 Swim Generation will offer a maximum of one permanent lesson time change per term if there is alternative availability. Swim Generation are not responsible for schedule conflicts. Whilst Swim Generation will do their best to accommodate an alternative day or time, future replacement lessons, credit or refund will not be offered.

3.5 Swim Generation cannot offer a class change during an intensive course. If the client’s schedule conflicts with their booking, future replacement lessons, credit or refund will not be offered.

3.6 Payment must be made in full, prior to the lessons starting. The child will not be able to partake in any lessons if the full payment has not been made.

3.7 Swim Generation reserves the right to review and change prices of the lessons termly.

04. Re-enrolment

4.1 During the annual re-enrolment period, a client will have a dedicated period to rebook into their allocated slot, for the following year. After this period, other Swim Generation clients or new Swim Generation clients are free to book any unpaid places.

4.2 Swim Generation will communicate the re-enrolment dates via the email client newsletter, prior to receiving the priority booking email.

4.3 Swim Generation will communicate the priority booking dates in the main priority booking email.

05. Lesson protocols

5.1 Swim Generation can only offer lessons, in the Non-Swimmer level and beyond, to those swimmers that are 2 years and older.

5.2 Parents and guardians unfortunately, cannot get into the pool during the lesson. The parent or guardian can view the lesson from poolside only.

5.2.1 Those parents that are partaking in a Parent and Baby or Toddler lesson must enter the pool.

5.2.2 There must be one parent or guardian in the pool, per child.

5.3 Children should not eat within the hour before their lesson.

5.4 No food or drink are permitted on poolside.

5.5 Children are not permitted in the pool prior to the lesson starting and should leave the pool once the lesson has finished.

5.6 Children must be delivered to the coach at the start of the lesson and collected promptly at the end.

5.7 The coach is responsible for the child for the duration of the lesson only.

5.8 The child must always be supervised by a parent or a guardian. Parents and guardians cannot leave the venue.

5.9 The client must arrive at the venue no earlier than ten minutes before the start of their lesson. This is to avoid overcrowding on poolside.

5.10 Buggies cannot be taken inside the venue. Please avoid bringing a buggy or use a foldable buggy.

5.11 Parents and guardians must view lessons from the café area at Everlast Health Club.

5.11.1 If the child is in a Non-Swimmers level or Beginners level, the client can view the lesson from poolside.

5.12 Swim Generation cannot accept any liability for loss or damage to personal property.

5.13 Lessons often run with two or three coaches teaching alongside each other.

5.14 Swim Generation cannot offer exclusive use of the pool to a singular lesson or client.

5.15 Due to the methodology of Swim Generation’s teaching, the coaches will often physically handle the child in a professional manner. The coaches can manipulate the child’s movement within the water to provide a quick result.

5.16 Swim Generation may refuse entry to a client, to a lesson if it is felt that their behaviour is unreasonable. A refund or credit will not be offered.

5.17 Dogs or any form of pet are not permitted on site. We will have no option but to refuse entry and sadly your child’s lesson will not be delivered if this happens.

06. Swimmer’s health

6.1 All children, under the age of three years old, must wear a double nappy system. A disposable aqua nappy must be worn underneath a reusable swim nappy.

6.1.1 Nappies must be disposed of in the provided nappy bin at the venue.

6.2 Children should not swim if they are unwell with illnesses such as chicken pox or diarrhoea. A child can return to swimming once their spots have crusted over. A child can return to swimming after 72 hours since the last diarrhoea symptom.

6.3 It is the client’s responsibility to inform Swim Generation of relevant medical information regarding the child. This information needs to be included within the Swim Generation registration form. Registration forms must be emailed to the Swim Generation head office, prior to the child’s first lesson and will be shared with the appropriate coach.

6.4 A child cannot participate in a lesson unless the Swim Generation head office have received the signed registration form, via email.

07. The Coach

7.1 Whilst Swim Generation strive to deliver continuity of coach, there may be instances where we need to change the coach during the term or at the end of a term. Where this is the case, we will keep you informed and provide a replacement coach as soon as possible.

7.1.1. If the client is unhappy with the replacement coach after the first two lessons, the client can move to an alternative class, if Swim Generation has availability.

7.1.2 Swim Generation will not refund or credit the cost of the remaining lessons if there is a replacement coach.

7.1.3 Due to the intensive recruitment process, there might be a coach shadowing the child’s lesson or taking the lesson. Credits, refunds or a replacement lesson will not be provided if this does occur.

7.2 There may be occasional coach cover due to unforeseeable circumstances. Where this is the case a suitable cover coach will be provided.

7.2.1 In the event that a replacement coach has been provided, Swim Generation cannot offer a replacement lesson, credit or refund.

7.3 All Swim Generation coaches are DBS checked and hold the relevant STA or ASA qualification.

7.4 All Swim Generation coaches are first aid trained and will assist in the event of an accident.

08. Privacy

8.1 Filming and photography are not permitted at any time during the lessons. Whilst Swim Generation endeavours to prevent all filming and photography, Swim Generation is not responsible if a client chooses not to follow this rule.

8.1.1 Occasionally, the Swim Generation Marketing team may come to the venue to take photos of the swimmers in their lesson. If this is the case, a ‘Model Release Form’ must be signed by the client. If the client chooses not to sign the form, they will not be filmed or photographed.

8.2 Calls to Swim Generation may be recorded for training purposes.

8.3 Swim Generation complies with GDPR regulations, as such we will not share personal data. Please opt-in when registering to receive important updates through our monthly newsletter.

8.4 Swim Generation will send service emails direct from contact@sportsgeneration.co.uk

8.5 Swim Generation will send occasional marketing material via email. If you do not wish to be included in the marketing communication, please reply to Swim Generation with UNSUBSCRIBE.

8.6 By booking lessons with Swim Generation, you will be placed in our online bookings system; Course Pro. You will be provided with a personal Member ID and login to track your child’s progress.

8.7 Swim Generation reserves the right to change their Terms and Conditions. Swim Generation will inform the clients of any change during the termly Priority Booking period.

09. Cancellation Policies

9.1 Cancellations must be sent in writing to contact@sportsgeneration.co.uk

9.2 The client may cancel a booking within 7 days of the original payment date and receive a full refund.

9.2.1 Cancellation for annual payments – a client cannot cancel their booking within the first three months of their booking, unless its within 7-days of the original payment. The first three months is from the date of the first lesson, not the payment date. After the three-month period, a client can cancel their booking if a 3-month notice period is given. Cancellations must be requested in writing and via email to contact@sportsgeneration.co.uk. A refund will be given for the remaining months. If a discount was used, the lessons will be charged at full price.

9.2.2 Cancellation for triannual payments – by making a triannual payment you have agreed to swim for the 43-week period however your payment will be split into three instalments. Should you need to cancel your booking, your space for the remaining weeks, in the active term, need to be filled by another paying clients. Once that client has made the payment, you will receive a refund of the remaining weeks. If a discount was used, the lessons will be charged at full price. Cancellations must be requested in writing and via email to contact@sportsgeneration.co.uk.

9.2.1 Cancellation for monthly payments – a client cannot cancel their booking within the first three months of their booking, unless its within 7-days of the original payment. The first three months is from the date of the first lesson, not the payment date. After the three-month period, a client can cancel their booking if a 3-month notice period is given. Cancellations must be requested in writing and via email to contact@sportsgeneration.co.uk. A refund will be given for the remaining months. If a discount was used, the lessons will be charged at full price.

9.4 Swim Generation can offer a credit to those swimmers that have a long-term illness and have a doctor’s note stating that the illness will affect six consecutive weeks. Swim Generation must receive the applicable doctor’s note within 7 days of the emailed cancellation explanation. The credit is only offered to the child that is sick, not siblings.

9.5 Swim Generation are under no obligation to refund lessons for non-attendance.

9.6 In the unlikely event that Swim Generation cancels a lesson, we will endeavour to provide a replacement lesson within twelve months of the cancelled class. Swim Generation are not obligated to provide a refund or a credit.

9.6.1 Swim Generation are not responsible for schedule conflicts, if the client cannot attend the provided replacement lesson option or options.

9.7 Makeup lessons are only offered when a child has been sick and a doctor’s note has been sent to the Swim Generation’s head office, via email.

9.8 Makeup lessons are subject to availability. Swim Generation will endeavour to book a child in however if there is not availability, a refund or credit will not be offered.

9.9 The amount of makeup lessons you are entitled to is dependent on your booking package. Please refer to your booking email or contact the head office team for more information.

9.10 Makeup lessons must be used within your current booking period. They cannot be carried over in the next booking period.

9.11 Makeup lessons cannot be taken in the intensive course.

9.11.1 Swim Generation may offer a makeup lesson in an intensive course, if the client has had a term time lesson cancelled by Swim Generation.

9.12 If the client’s child is under the age of 3.5 years and after the third lesson the child is not willing to participate in the lesson, Swim Generation can hold a credit of the cost of the remaining lessons.

9.12.1 The credit, of the remaining lessons, must be used in the next term. The Swim Generation terms start in January, April and September.

9.12.2 The remaining lessons will not be refunded.
